Field Trip Chaperone Information

  • Family members wishing to attend their student's field trip must agree to the terms below by completing and submit the Volunteer Application and the Part two follow up form. 

     

Chaperone Agreement

  • A chaperone is an adult who is responsible for assisting with the supervision of students on a field trip. When you volunteer to serve as a chaperone on your student’s field trip, you will be helping to extend the regular curriculum beyond the classroom and the school. A non-chaperone is an adult who is not responsible for the supervision of students on a field trip. Regardless of chaperone or non-chaperone status, all adult field trip attendees are expected to adhere to the following guidelines during a district-approved field trip.

     

General Expectations

  • A chaperone’s primary concern is the safety and well-being of students.

    • You must adhere to the District’s Code of Conduct during the entire trip. Inform the lead teacher of any student conduct that does not correspond with the District’s Code of Conduct or other guidelines set by the staff member in charge. If you have concerns about the behavior of another chaperone need to direct their concerns to the building principal.
    • When supervising students without a staff member present, you will be provided with the necessary information needed in case of an emergency (i.e., student medical information, teacher contact information, food allergy information).
    • In the event of a student emergency, a staff member or chaperone may need to stay behind with a student while the remainder of the group moves ahead. If this occurs, you may be assigned additional students.

    Follow the directions of staff members, be on time for all activities and support and participate in all trip activities.

    • You must travel and provide supervision on the bus unless other arrangements are made with the staff member in charge.
    • Do not separate from the group during the trip for any reason (e.g., meeting friends, family).
    • Do not purchase gifts, food or beverages for students with their personal funds.
    • Do not bring small children or other family members to the event.

    Respect student(s) confidentiality rights.

    • Do not contact or talk to parents/guardians or others about specific student(s) unless directed by a staff member (i.e., disability status or other personal information)
    • Do not post names or photos of students on personal social media accounts.

     

ADDITIONAL EXPECTATIONS FOR OVERNIGHT TRIPS

    • You must be available 24/7 to the students. Do not make alternative plans or leave the hotel grounds unless it is an emergency.
    • Make sure all students are present during each activity; meeting point, transportation transfer, hotel check-in, etc. If students are missing at any time, inform the lead teacher immediately.
    • Ensure you have the lead teacher’s contact information and appropriate student information in your possession at all times. This may include but is not limited to copies of passports, medical information, insurance information, and parent/guardian contact information.
    • Attend various meetings with staff members before and during the trip. Meetings may be called to address trip expectations, itinerary/activities, travel concerns, student illness, group conflicts, student behaviors, and/or general reflections about the trip.
    • Do not share a hotel room with a student unless it is your own student.
    • Inspect students’ rooms prior to check-out to verify that it is clean and no damage has occurred.
